Use a routine that is realistic for your devices. The most organized system is not necessarily the one with the most folders; it is the one that makes a receipt and its saved expense easy to recognize later.

Capture or upload a clear image

Place a paper receipt on a flat surface with enough light and keep the full amount, merchant, and date visible. Avoid shadows, folded corners, glare, and motion blur where possible. For digital receipts, use the original supported image or a clear saved copy instead of repeatedly compressing a screenshot.

Check the file before uploading it. A readable image gives receipt-scanning tools better source material, but image quality cannot guarantee perfect extraction. Handwriting, damaged paper, unusual layouts, or low contrast may still require manual correction.

Review extracted information

Receipt scanning can identify likely values such as the amount, date, merchant, category, payment method, notes, or line items. OCR and automated interpretation can misread digits, omit a field, or select the wrong text. Splitting every small item can create unnecessary records, so use the option only when the additional detail supports a real review need. Confirm detected item names and amounts before saving them separately.

Protect personal information

Receipts may contain phone numbers, addresses, partial payment details, loyalty identifiers, or other personal information. Upload only documents that are relevant to your own expense records and use access controls available on your device and account. Be careful when downloading, emailing, or sharing exported files.
